Good preparation
makes space for people.
A first conversation is about priorities, not a checklist of extras. We ask which moment matters most, what your guests enjoy and how much of the planning you want us to take on. You might already have a venue, catering and a rough programme; you might be starting with a single theme. Both are useful starting points.
We then develop a coherent scope. The programme determines the roles needed, the equipment and the layout. A hosted table activity needs clear guest introductions and enough space around each table. An awards segment needs a reliable presentation order and a room that can see and hear the speaker. Styling is planned around those practical needs.
Before you accept, the proposal should let you understand what is included and what is not. We agree the selected format, timings, venue assumptions, tax treatment and costs. Any optional custom installations, specialist performers or larger technical requirements are described separately. An enquiry starts this process; it does not create a confirmed booking.
Ready before
the first hello.
Delivery and setup take place in the agreed access window. Equipment and décor are placed to the final layout, circulation routes remain clear and the venue’s rules guide installation. Hosts and dealers are briefed on the guest group, activity sequence and any changes to the programme. Audio and presentation needs are checked where they form part of the scope.
During the event, the running order provides structure without crowding every minute. Someone needs to know when the welcome is complete, when food is served and who signals the next activity. The coordinator’s role is agreed alongside the venue and other suppliers, so that responsibilities are clear rather than duplicated.
The close is planned too. We agree when entertainment ends, when pack-down can begin and who receives hired items or equipment at collection. Guest departure, venue access and supplier loading need to work together. If circumstances change, we discuss the practical options and any cost implications before additional work is authorised.
