Board Beat starts with that purpose and shapes the event around it. The theme supports your message; it should not make the occasion harder to understand or overwhelm the people at its centre.
We organise events for up to 50 guests, from an intimate staff appreciation evening to a styled company anniversary. A smaller guest list allows the programme to be personal: introductions can be deliberate, the presentation space can feel close to the audience and entertainment can be adapted to the group rather than scaled for a crowd.
Your internal planning process matters too. Tell us who approves the brief, whether procurement needs an itemised scope and when decisions are due. We can separate essential production from optional upgrades so that your team can assess the budget and confirm priorities. The written proposal establishes the agreed work before production commitments are made.

For a gala dinner or awards night, we consider the room from a guest’s perspective. The entrance introduces the occasion, table styling sets the atmosphere and a clearly defined stage or presentation area gives speakers a focus. Lighting should help the audience see both the room and the people being recognised.
The run sheet connects welcome remarks, dining, presentations and entertainment. We discuss speaker order, pronunciation, award handovers and who supplies the final presentation material. A short technical check before arrival is more useful than discovering a missing cable during a speech. Any screens, audio, stage equipment or dedicated operators are itemised for the selected scope.
Company anniversaries can use milestone displays and a photo wall to connect past achievements with the future. Product launches may need a reveal moment, feature display and clear sightlines. Conference entertainment often benefits from a change of pace after a day of sessions. Each format receives a different programme, even when the same venue or styling elements are involved.
We agree the people responsible for venue access, guest information, supplier approvals and the final programme. If your company already has catering, an AV team or an agency, we define where Board Beat’s responsibilities start and finish. Shared timings make deliveries, setup and sound checks easier to coordinate.
Christmas celebrations, networking functions and staff appreciation events can be more informal. A lounge layout encourages conversation, while themed entertainment gives guests something to do between introductions. We can adapt a winter, summer or Kiwi Christmas direction to the room and your audience, without assuming a particular dress code or level of participation.
Tell us about access needs, a preference for quieter areas and any activities that would not suit your group. Programmes can run up to 9 hours, but we build in breaks and transitions rather than filling every minute. Venue rules, supplier availability and travel arrangements are confirmed before a date is treated as booked. Catering, alcohol and venue hire require their own explicit arrangements.

Corporate presentation and gala production starts indicatively from NZ$3,500 for a compact event of up to 30 guests in an existing venue, with a coordinator, focused décor and basic presentation support.
The final scope, GST treatment, travel and any additional costs are confirmed in a written proposal. Published figures are indicative planning amounts, not fixed quotes.

After availability, the final scope and written booking terms have been agreed. An initial enquiry or indicative budget does not reserve a date.
